Event AV Quotation Checklist: Why Can Two Quotes Be Completely Different?
Because the same words can describe very different events. A small indoor LED display is not the same as a large conference stage. Six microphones in a boardroom are not the same as six microphones supporting panels, audience Q&A and multiple sessions.
Pricing is influenced by specifications, event duration, venue access, installation schedule, crew requirements, content, location and the integration between systems.
Every missing detail at the beginning can become a quotation revision later.
1. Event name and format
Tell us whether the event is a conference, corporate meeting, exhibition, product launch, workshop, medical meeting or another format. The format immediately affects display, audio, microphones, stage and interpretation planning.
2. Date and operating hours
Provide the event date and daily operating hours. For multi-day events, list all dates. This affects equipment duration, crew planning and logistics.
3. Venue and room name
Send the venue and room name where possible, plus photographs or a floor plan if available. Access routes, ceiling height, power and loading conditions can materially affect the setup.
4. Audience size and seating layout
Attendance affects both image size and audio coverage. Seating format also matters: theatre, classroom, U-shape, round tables or an open exhibition environment.

5. Stage size and height
If a stage plan already exists, send the dimensions. If not, tell us the number of speakers and what needs to be placed on stage so that a suitable layout can be proposed.
6. What does the audience need to see?
Describe the presentation content: PowerPoint, videos, camera feeds, maps, data, product demonstrations or branded graphics.

7. Microphone quantity and use
If possible, explain how microphones will be used rather than sending only a number. Stage speakers, panels, podiums and audience Q&A may require different microphone types.
8. Simultaneous interpretation
Provide the number of languages, receiver quantity and whether interpreters are already arranged. Simultaneous interpretation may also require booths and integration with the main conference audio.
9. Livestreaming or recording
Tell us whether the event will be streamed or recorded, the platform if known, and the expected camera requirements. Reliable internet should be considered part of the streaming plan.
10. Installation and dismantling schedule
Venue access times are critical. Installation the day before the event provides a very different workflow from same-day access. Include the earliest access time, event-ready deadline and dismantling window.
11. For exhibitions, send the booth design
A floor plan or 3D design helps determine display positions, curved surfaces, interactive zones and power requirements.

12. Budget range, when available
A budget range is not mandatory, but it helps when a firm ceiling already exists. It allows the technical design to prioritize the elements that create the most value instead of proposing a scope that later needs major reductions.

A useful event AV quotation should make the scope, quantities, dimensions, duration, transportation, installation, operation and major exclusions clear. Items such as internet, permits or taxes should also be identified when they are outside the quoted scope.
